Event Booking Terms & Conditions

Booking a place at a conference

When completing the online booking form, the purchaser is liable for full payment of the fee and must cover any transfer fees applied by their bank if necessary. Full payment must be received before place(s) can be guaranteed. Discounted fees are available for BIEE members.

Invoices can only be requested via conference@biee.org up to 1 month prior to a conference or event with BACS payment available to UK based organisations. Otherwise payment must be by card online.

Confirmations

Confirmation of registration and joining instructions will be sent to all delegates in advance of the event, conference or training course. If these are not received one week prior to the relevant events please contact conference@biee.org

Your personal data

The BIEE is the Data Controller of any personal data you supply as part of your booking, and your subsequent interaction with the BIEE. Your data will be managed in accordance with the BIEE’s Privacy Policy.

Cancellations

In the event of cancellation of conference attendance by the ticket purchaser, a refund, less 10% administration charge of the total monies due will be made provided that notice of cancellation is received in writing one month before the date of the event. No refunds will be paid, or invoices cancelled after this date

BIEE reserves the right to change and amend any advertised speakers/presentations and timings as necessary and without notice. In the unlikely event of it being necessary, for whatever reason, to cancel an element of the programme, BIEE shall not be liable for any expenditure, damage or loss incurred by the delegate, including their delegate fee.

Where an event or conference is cancelled in its entirety, we will endeavour to reschedule or hold the event online.

If it cannot be rescheduled, or held online the delegate fee will be refunded.

Substitutions

If you are unable to attend an event or conference you have registered for, a substitute delegate may attend in your place, provided the Events team is notified in writing in advance. Substitutions are normally possible until 48 – 72 hours prior to the event ( depending on venue security policies).

If you would like to change registration category, this can be accommodated (subject to availability) up to one month prior to the event and you will be refunded/charged any difference in registration fees.

Code of Conduct

All members/event participants are expected to treat other members, participants, guests and staff with courtesy and respect. Aggressive, discriminating, disrespectful or otherwise inappropriate behaviour will not be tolerated. If you have any concerns, please contact admin@biee.org or a member of Council.

We ask that participants also follow the below guidelines.

  • Please keep all discussions, through any medium, courteous and constructive.
  • All speakers/presenters have the right to ask delegates not to disseminate their presentations online or through other forms of media. Delegates are asked to respect the wishes of speakers/presenters who make this request.
  • Please refrain from taking photos or recordings of any presentation slides without prior consent of the speaker/presenter.

Exclusion of liability

When booking a conference ticket the purchaser does so entirely at their own risk and the purchaser should make such insurance arrangements as they consider appropriate in the event that the any conference, event or training course is cancelled or otherwise disrupted for any reason. BIEE shall accept no liability for, and the purchaser shall hold BIEE harmless against, any claim for loss of profits, loss of sales or business, loss of agreements or contracts, loss of anticipated savings, loss of or damage to goodwill or indirect or consequential loss in the event that any conference, event or training course is cancelled or otherwise disrupted for any reason.

If you are attending a conference online, BIEE cannot accept responsibility for internet connection quality or local technical difficulties during the event therefore no refunds will be given for such circumstances. Online participants should also acknowledge that they lose their right to withdraw if they access the online conference, the services or any digital content.

Nothing in these Terms and Conditions limits any liability which cannot legally be limited, including the BIEE’s liability for death or personal injury caused by negligence or fraud or fraudulent misrepresentation.

Terms relating to sponsorship

If a BIEE event is cancelled, BIEE will agree a replacement package across its activities to provide the event sponsors with suitable replacement benefits. Should that not be possible, sponsors may be liable for partial payment of their sponsorship fee to cover benefits delivered by the BIEE up to the point when the event is cancelled.

Where an event is held jointly with a sponsor or partner organisation, in accordance with our Privacy Policy, we may share details of registrants to the event with our co-hosts, subject to registrants consent. Where we share such data, partners’ further processing of this is at their own risk. As a condition of receipt of such information they shall indemnify BIEE against all liabilities, costs, expenses, damages and losses (including but not limited to any direct, indirect or consequential losses, loss of profit, loss of reputation and all interest, penalties and legal costs (calculated on a full indemnity basis)) arising out of or in connection with their subsequent use of that data for any purposes.
